As an admin, you control who uses the Gemini app in your organization. The Gemini app can help users supercharge their ideas. With a little help from the Gemini app, users can do things like:

  • Brainstorm ideas, develop a plan, or find different ways to get things done.
  • Get a quick, easy to understand summary of more complex topics.
  • Create first drafts of outlines, emails, blog posts, and much more.

How to get Gemini for Education

Gemini for Education is a version of the Gemini app built for the unique needs of the educational community. 

The Gemini app includes:

"Gemini Apps” are also sometimes referred to as the “Gemini app” or “Gemini.”  If you have a work or school Google Account, your use of Gemini Apps may be subject to different data handling terms. Learn more about using Gemini Apps with a work or school Google Account.

Who can access the Gemini for Education?

There are 2 ways for Google Workspace for Education customers to use Gemini for Education:

With a qualifying edition of Google Workspace for Education

The Gemini app as a core service with enterprise-grade data protections is available to Google Workspace for Education users of all ages. These users are subject to the Workspace for Education Terms of Service or your offline Workspace agreement, as applicable. Their content is not human reviewed or used for Generative AI model training outside their domain without permission.

With a Google Workspace with Gemini add-on license

Users with a Google Workspace with Gemini add-on license have access to premium models and features in the Gemini app. Learn more about features included in Google Workspace with Gemini. Note: Google Workspace with Gemini is unavailable to users under age 18.

Note: Your use of Gemini Apps (including gemini.google.com, Gemini mobile app, and Gemini in Chrome) across devices counts toward your usage limits. For example, when you use Gemini in Chrome, then switch to the Gemini mobile app using the same model, both will apply to your usage limits.

Our current FedRAMP submission doesn't include Data Location. We're targeting FedRAMP with Data Location at a later date. 

Gemini activity settings

  • When you use the Gemini web app or mobile app with your work or school account, conversation history is saved by default for 18 months. Your admin can change the auto-delete setting to delete activity after 3, 18, or 36 months or turn history off altogether.
  • When Keep Activity is on, it includes activity from the Gemini web and mobile apps. Clearing your Gemini for Google Workspace history from a Workspace app doesn’t affect information saved to Gemini Apps Activity.

Gemini mobile app

The Gemini mobile app includes:

Gemini mobile app is available by default to users in your organization who have access to Gemini. Currently Google Workspace users are subject to some restrictions when using the mobile app. They can't use:

Notes:

  • Android users attempting to use the Gemini mobile app in the Android Work Profile will be redirected to gemini.google.comin their mobile web browser.

Gemini in Chrome

Gemini in Chrome started rolling out to Workspace users in early October. It will take several weeks for this update to reach all customers. 

Gemini in Chrome is available by default to users in your organization with access to the Gemini app. Access to Gemini in Chrome as a core service with enterprise-grade data protections is available with most Google Workspace editions. To use Gemini in Chrome, users must be:

  • signed in to Chrome in the US
  • over the age of 18 years old
  • using English as their default language in Chrome
  • using a Windows, macOS, or iOS device. 

At this stage Gemini in Chrome does not support the following compliance certifications:

  • HIPAA Business Associate Amendment (BAA)
    • Gemini in Chrome is automatically blocked for customers who’ve signed a BAA.
  • SOC 1, SOC 2, SOC 3
  • ISO / IEC 27001, ISO 27017, ISO 27018, ISO 27701, ISO 9001, ISO 42001
  • FedRAMP High
  • BSI C5:2020

You can use GeminiSettings in Chrome Enterprise to disable Gemini in Chrome while maintaining access to the Gemini web app and Gemini mobile apps.

Choose who can use the Gemini app

By default, the Gemini app is available to all users over age 18 with a license that provides access under your Google Workspace agreement.

You can extend access to all users, regardless of their Google Workspace license:

  1. Sign in with an administrator account to the Google Admin console.

    If you aren’t using an administrator account, you can’t access the Admin console.

  2. In the Admin console, go to Menu and then Generative AI > Gemini app.
    Important: This setting controls access to gemini.google.com, Gemini mobile apps, and Gemini in Chrome. It has no effect on other AI features in Google Workspace services. 
  3. Click User access.
  4. Check the box to Allow all users to access the Gemini app, regardless of license.
  5. (Optional) To apply the setting only to some users, at the side, select an organizational unit (often used for departments) or configuration group (advanced). Show me how

  6. Click Save.

Changes can take up to 24 hours but typically happen more quickly. Learn more

Turn the Gemini app on or off

  3. To turn a service on or off for everyone in your organization, click On for everyone or Off for everyone, and then click Save.

Manage Gemini conversation history

The Gemini conversation history setting lets you manage whether Gemini conversations are saved and for how long before they’re automatically deleted. 

When Gemini conversation history is on or off, chats are used as described in the Google Workspace Terms of Service. When Gemini conversation history is off, users will not be able to access previous conversations. Once they leave a conversation, they will not be able to see it again. Google may still store these conversations for up to 72 hours so Google can provide the service. This activity doesn’t appear in Gemini Apps Activity.

When you turn the setting on then off, any existing conversation history is stored for the length of time set in the Conversation retention option.

Note: When Gemini conversation history is off, Workspace apps integrations are not accessible to Gemini. 

Only Workspace admins have access to the Gemini conversation history setting. The setting can’t be changed by Workspace users. Conversation history is on by default.

  1. Sign in with an administrator account to the Google Admin console.

    If you aren’t using an administrator account, you can’t access the Admin console.

  2. In the Admin console, go to Menu and then Generative AI > Gemini app.
  3. Click Gemini conversation history.
  4. To turn conversation history on or off, select or deselect the Enable Gemini conversation history box.
  5. When conversation history is on, below Conversation retention, select how long conversations are stored before they’re automatically deleted: 3, 18, or 36 months. The default is 18 months.
