To save time and reduce clutter, Gemini can help organize loose files in your Drive. Based on file content, your organizing patterns, and general organizing best practices, Gemini will suggest moving files into existing folders or creating new folders for you.

Let Gemini help you organize your files
Important:
- Eligible files include PDFs, Google Docs, Sheets, Slides, Microsoft Office files, images, and videos with transcripts. Gemini can also organize shortcuts.
- You must have Editor access to the files.
To organize your files with Gemini:
- On your computer, go to drive.google.com.
- Open My Drive, a folder, or a shared drive.
- If you have files that can be organized, the "Organize files" button will appear.
- Click Organize files.
- Gemini will analyze your loose files and suggest moving them into existing or new folders. Gemini will not move any files without your permission.
- Review Gemini's suggestions. You can:
- Refine suggestions: If you want to adjust how your files are grouped, at the top of the list, click Refine

- Refine with a prompt: Enter specific instructions to customize the organization, such as “Group these by year.”
- Organize by project: Automatically group files based on project context.
- Organize meeting notes: Specific grouping for notes and agendas.
- Adjust folder creation: To change the granularity, select More new folders or Fewer new folders.
- Shorten folder name: Make suggested folder names more concise.
- Try again: Generate new suggestions.
- Rename a suggested new folder: Hover over the suggested folder name and click Rename
, you will be prompted to type a new name.
- If the folder appears in the list of recommendations for more than one file, you’re prompted to rename those folders as well. To rename the folder, click Rename folders
Accept.

- Change folder destination:
- Under "Suggested location," hover over the suggested folder and click Change location

- Next to the folder where you want to move the item, click Move
Move.
- The item you moved is temporarily grayed out.
- To dismiss the notification, click Close
.
- Under "Suggested location," hover over the suggested folder and click Change location
- Accept move & suggestions:
- Check the box next to each file you want to move.
- At the top of the list, click Move files.
- A dialog box will appear to confirm. Click Create and move.
- Reject suggestion: To remove a suggestion, click Remove
.
- If you reject a suggestion, Gemini won’t suggest that file or folder pair again for 30 days.
- Refine suggestions: If you want to adjust how your files are grouped, at the top of the list, click Refine
- A confirmation message will appear at the bottom left after your files are moved.
Tips:
- If you move files by mistake, you can click Undo in the confirmation message that appears at the bottom of your screen after the files are moved.
- Windows keyboard shortcut: ctrl + z
- MacOS keyboard shortcut: command + z
- New folders will not be deleted when you undo a move to prevent potential data loss.
