Set up Office file handling for managed users

Option C: Use Google Workspace to handle your Office documents

For administrators who manage ChromeOS devices for a business or school.

As an admin, you can allow users to configure Office document handling using Google Workspace instead of Microsoft 365.

Step 1: Deactivate Microsoft OneDrive

By default, for enterprise users, the Microsoft OneDrive integration setting is set to Disable Microsoft OneDrive Files app integration—OneDrive integration into the Files app is turned off and users can't turn it on to set up Microsoft OneDrive on their devices.

Follow these steps to check to make sure that OneDrive is deactivated:

  1. Sign in with an administrator account to the Google Admin console.

    If you aren’t using an administrator account, you can’t access the Admin console.

  2. Go to  Menu and then Devices > Chrome > Settings. The User & browser settings page opens by default.

    Requires having the Mobile Device Management administrator privilege.

  3. To apply the setting to all users, leave the top organizational unit selected. Otherwise, select a child organizational unit.
  4. Go to Content.
  5. Click Microsoft OneDrive integration.
  6. Select Disable Microsoft OneDrive Files app integration.
  7. Click Save.

Step 2: Force Google Drive to sync data

If your organization uses Workspace to handle users' Office documents, you need to make sure that Drive syncs data for managed users on ChromeOS devices.

  1. Go to  Menu and then Devices > Chrome > Settings. The User & browser settings page opens by default.

    Requires having the Mobile Device Management administrator privilege.

  2. To apply the setting to all users, leave the top organizational unit selected. Otherwise, select a child organizational unit.
  3. Go to Content.
  4. Click Google Drive syncing.
  5. Select Enable Google Drive syncing.
  6. Click Save.

Step 3: Set up Office document handling

  1. Go to  Menu and then Devices > Chrome > Settings. The User & browser settings page opens by default.

    Requires having the Mobile Device Management administrator privilege.

  2. To apply the setting to all users, leave the top organizational unit selected. Otherwise, select a child organizational unit.
  3. Go to Content.
  4. Click Microsoft Office documents.
  5. Download Office documents without first opening them in the basic editor.
    1. Select Preview off (recommended): Download Office documents directly.
    2. Click Save.
  6. For Google Workspace file handling, choose an option:
    • Automatic configuration—Select Enable automatic upload and file handling. Automatically sets up the cloud upload flow for Google Drive and Google Workspace.
    • Manual configuration— Select Allow users to enable automatic upload and file handling. Users can set up the cloud upload flow for Google Drive and Google Workspace
  7. Click Save.
