Learn about meeting codes in Google Calendar events

When you add Google Meet to a Google Calendar event, you get a unique meeting code. Until it expires, the meeting code is permanently linked to the original Calendar event. The guest list for the original event controls who can join your meeting and who has access to meeting records, like recordings and chat history. Learn more about meeting codes in Google Meet.

If you reuse a meeting code from an old event for a new meeting, the permissions and access are still tied to the original event's guest list. This means that:

  • Sensitive discussions, like performance reviews or interviews, could be visible to people invited to the original event.
  • People invited to the original event might have access to recordings and other files from the new meeting.
  • If continuous meeting chat is enabled, participants from the original event can receive chat messages sent in the new meeting, even if they aren’t invited to the event. Learn more about continuous meeting chat.
  • Guests invited to the new event may need to ask permission to join the event from the host.

Example

A recruiter uses the same meeting code for a candidate interview and a separate internal follow-up debrief with the hiring team. Because the code still links to the interview event:

  • The hiring team has to ask to join the meeting from the recruiter and does not have access to the chat before and after the meeting.
  • The candidate might find the follow-up meeting's notes and recordings.

To avoid sharing notes with the candidate and allow the hiring team to automatically join the meeting, the recruiter should create a new event with a unique meeting code for the follow-up meeting.

If you reuse a meeting code that was created outside of Calendar, such as meet.google.com:

  • Continuous meeting chat is not available for the meeting.
  • Meeting records can only be shared with the meeting host.
  • People invited to the event may need to ask permission to join the event from the host.

Learn best practices for meeting codes

  • Create a new meeting code: Always create a new code when you schedule a new event. When you add Meet to a new Calendar event, it generates a new meeting code.
    • For recurring events, the code connects to the event in progress or the next upcoming event.
  • Do not reuse meeting codes to hide guests: If you need to keep attendee names private, create one event and select "Hide guest list" in the event permissions:
    1. On your iPhone or iPad, open the Calendar app Calendar.
    2. Open the event.
    3. Tap Guests.
    4. Under “Guest permissions,” turn off See guest list.

Understand meeting code warnings

If you see a warning that says “The meeting code is from a different meeting” and you don't know why or don't know what the other meeting is, you should generate a new meeting code.

  1. On your iPhone or iPad, open the Calendar app Calendar.
  2. Open the event.
  3. At the top right, tap Edit event .
  4. On the right of the current video conference, tap Remove conference Close.
  5. To generate a new meeting code, tap Add video conferencing.
