Set up activity alerts for Workspace Studio

As an administrator, you can get alerts about Google Workspace Studio flow activity, such as when flows run a lot or use a lot of AI steps. You set alerts in the Workspace Alert Center and can be notified by email or in the Admin Console.

This page describes how to set up 2 common alerts.

Example 1: Get alerts for high flow activity

You can set up an activity rule to notify administrators when flow run an unusually high number of times within a short period. These alerts help you quickly identify potential loops, misconfigurations, or quota consumption issues.

This example shows how to create an activity rule that sends a notification when the "Start run" event occurs more than 100 times in one hour.

  1. Sign in with an administrator account to the Google Admin console.

    If you aren’t using an administrator account, you can’t access the Admin console.

  2. Go to Menu and then Rules.
  3. At the top of the rules table, click Create rule and thenActivity.
  4. Enter a Rule name, such as "High Workspace Studio flow activity".
  5. (Optional) Enter a Description, such as "Alert when flows run more than 100 times in an hour."
  6. Click Continue.
  7. Click Data source and select Workspace Studio log events. If you don’t see this option, make sure you have a supported edition and privileges to view Workspace Studio event logs.
  8. Add a condition with the following values:
    • Attribute: Select Event.
    • Operator: Leave as Is.
    • Value: Select Start run.
  9. Click Continue.
  10. In the Action and notification section, select If the event frequency meets a specific threshold.
  11. Configure the frequency threshold values:
    • Count: Enter 100.
    • Time period: Select 1 Hour.
    • This defines the condition as "more than 100 times in 1 hour".
  12. Select where to send notifications and choose a severity level.
  13. Click Continue.
  14. Verify the settings:
    • Source: Workspace Studio log events
    • Conditions: Event Is Start run
    • Threshold: If the event happens more than 100 times in 1 hour
    • Alerts: On (if you chose to get notifications in the Alert center)
    • Emails: On (if you chose to send emails)
    • Rule status: Active
  15. Click Create Rule.

Example 2: Get alerts when flows use Gemini a lot

You can set up an activity rule to notify administrators when Workspace Studio flows use the Ask Gemini step. These alerts help you to track how often flows use this AI-powered step.

This example shows how to create an activity rule that sends a notification when these AI-powered steps are used more than 1000 times in 24 hours.

  1. Sign in with an administrator account to the Google Admin console.

    If you aren’t using an administrator account, you can’t access the Admin console.

  2. Go to Menu and then Rules.
  3. At the top of the rules table, click Create ruleand thenActivity.
  4. Enter a Rule name, such as "Workspace Studio - Ask Gemini Alert".
  5. (Optional) Enter a Description, such as "Alert when flows use Ask Gemini more than 1000 times in 24 hours."
  6. Click Continue.
  7. Click Data source and select Workspace Studio log events. If you don’t see this option, make sure you have a supported edition and privileges to view Workspace Studio event logs.
  8. Add a condition with the following values:
    • Attribute: Select Event.
    • Operator: Leave as Is.
    • Value: Select Start step.
  9. Click Add condition and set up another as follows:
    • Attribute: Select Step name.
    • Operator: Select Contains.
    • Value: Enter “Ask Gemini”.
  10. Click Continue.
  11. Select where to send notifications and choose a severity level.
  12. Click Continue.
  13. Verify the settings:
    • Source: Workspace Studio log events
    • Conditions: Event Is Start step AND Step Name Contains Ask Gemini
    • Threshold: If the event happens more than 1000 times in 24 hours
    • Alerts: On (if you chose to get notifications in the Alert center)
    • Emails: On (if you chose to send emails)
    • Rule status: Active
  14. Click Create Rule.
